And maybe that\u2019s what associations should be doing more of when they talk about the next generation of their annual meetings, conferences and conventions\u2014listening.<\/p>\n<div>As association professionals, we have lots of clever ways to talk to members through our communications and live events, but are we really listening to what they have to say? What do sponsors and exhibitors really want from us? What are members saying to each other? &#8220;Listening is not a passive act if you want to do it right,&#8221; wrote Godin. &#8220;If listening better leads to better speaking, then [listening] becomes a competitive advantage.&#8221;<\/div>\n<div><\/div>\n<div><a href=\"http:\/\/staging.naylornet.com\/associationadvisor\/wp-content\/uploads\/sites\/2\/2012\/10\/takeaways1.png\"><img decoding=\"async\" class=\"alignleft size-full wp-image-176\" alt=\"takeaways\" src=\"http:\/\/staging.naylornet.com\/associationadvisor\/wp-content\/uploads\/sites\/2\/2012\/10\/takeaways1.png\" width=\"200\" height=\"47\" \/><\/a><\/div>\n<table style=\"border-collapse: collapse; width: 95%; margin: 5px; border: 1px solid black; background-color: #dcdcdc;\" width=\"\" cellspacing=\"3\" cellpadding=\"3\" align=\"center\">\n<tbody>\n<tr>\n<td style=\"border: 1px solid black;\">\n<ul>\n<li>As conferences and conventions evolve, organizations that perfect their listening skills will have the best chance of staying relevant.<\/li>\n<\/ul>\n<ul>\n<li>Post-show surveys can be very valuable, but only if you ask the right questions.<\/li>\n<\/ul>\n<ul>\n<li>Mobile conference apps add convenience and can help build communities around the show.<\/li>\n<\/ul>\n<ul>\n<li>Appointment-based events bring pre-qualified buyers and sellers together for carefully targeted one-on-one discussions.<\/li>\n<\/ul>\n<\/td>\n<\/tr>\n<\/tbody>\n<\/table>\n<p>So why don\u2019t we simply ask our constituents what they want from us in our member surveys? Why do more and more registrants wait until very the last minute before committing to attend?<\/p>\n<div>\n<p>&#8220;Member surveys can tell you a lot, but associations are often afraid to ask the right questions,&#8221; said Camille Stern, vice president and group show director at <a href=\"http:\/\/www.naylorcmg.com\" target=\"_blank\">NaylorCMG<\/a>. The other challenge with surveys, observed Stern, is that associations often don\u2019t do anything with the results they\u2019ve worked so hard to gather. They may put the results in a report, but they don\u2019t really change anything until it\u2019s time to do the next annual survey.<\/p>\n<p>Only a small number of associations &#8220;make the effort to follow up with people who give negative feedback,&#8221; said Stern. Instead of saying X percent of members were satisfied with the annual conference, &#8220;you\u2019ve got to ask the ones who weren\u2019t satisfied why they weren\u2019t satisfied,&#8221; she said. &#8220;Associations don\u2019t always listen (or want to listen) to what members tell them.&#8221;<\/p>\n<\/div>\n<div>Associations put a great deal of time and effort into their annual conferences, even though only a small portion of their membership actually attends, noted to Jeff DeCagna, founder of <a href=\"http:\/\/www.principledinnovation.com\/\" target=\"_blank\">Principled Innovation<\/a>. The rest have lots of other ways to get the learning, networking and connections they need. And associations aren\u2019t taking advantage of that, he added.<\/div>\n<div>Why don\u2019t they?<\/div>\n<div>For one, there\u2019s a lot of money on the line, as the annual conference or convention is often an association\u2019s biggest non-dues revenue generator. It\u2019s also a great source of visibility and prestige. As our annual communication benchmarking studies have revealed, industry event coverage is considered highly important to nearly 40 percent of association leaders, up substantially from 22 percent in 2011.<\/div>\n<div><a href=\"http:\/\/staging.naylornet.com\/associationadvisor\/wp-content\/uploads\/sites\/2\/2013\/02\/AA-Feb-2013-Lead.jpg\"><img fetchpriority=\"high\" decoding=\"async\" class=\" wp-image-1435 aligncenter\" alt=\"Coverage of key industry events &quot;Very Important&quot; or &quot;Most Important&quot;\" src=\"http:\/\/staging.naylornet.com\/associationadvisor\/wp-content\/uploads\/sites\/2\/2013\/02\/AA-Feb-2013-Lead.jpg\" width=\"496\" height=\"248\" srcset=\"https:\/\/www.naylor.com\/associationadviser\/wp-content\/uploads\/sites\/2\/2013\/02\/AA-Feb-2013-Lead.jpg 2151w, https:\/\/www.naylor.com\/associationadviser\/wp-content\/uploads\/sites\/2\/2013\/02\/AA-Feb-2013-Lead-300x150.jpg 300w, https:\/\/www.naylor.com\/associationadviser\/wp-content\/uploads\/sites\/2\/2013\/02\/AA-Feb-2013-Lead-768x385.jpg 768w, https:\/\/www.naylor.com\/associationadviser\/wp-content\/uploads\/sites\/2\/2013\/02\/AA-Feb-2013-Lead-1024x513.jpg 1024w\" sizes=\"(max-width: 496px) 100vw, 496px\" \/><\/a><\/div>\n<div><span style=\"font-weight: bold;\">Getting more out of the experience<\/span><\/div>\n<div><\/div>\n<div>Even a bleeding edge technologist like Godin argues that &#8220;live interaction still matters. Teachers, meetings, presentations, one-on-one brainstorms\u2014they can lead to real change.&#8221;<\/div>\n<div><\/div>\n<div>&#8220;You just can\u2019t substitute the impact of meeting face to face,&#8221; agreed Jim Anderson, president of the <a href=\"http:\/\/www.calsae.org\" target=\"_blank\">California Society of Association Executives<\/a>. Attendees and exhibitors are very ROI focused today and they\u2019re expecting an &#8220;experience&#8221; that they can\u2019t find anywhere else.<\/div>\n<div>\n<figure id=\"attachment_1437\" aria-describedby=\"caption-attachment-1437\" style=\"width: 169px\" class=\"wp-caption alignleft\"><a href=\"http:\/\/staging.naylornet.com\/associationadvisor\/wp-content\/uploads\/sites\/2\/2013\/02\/giovanniAAFeb2013.jpg\"><img loading=\"lazy\" decoding=\"async\" class=\" wp-image-1437  \" style=\"margin-right: 10px; margin-top: 5px;\" alt=\"giovanniAAFeb2013\" src=\"http:\/\/staging.naylornet.com\/associationadvisor\/wp-content\/uploads\/sites\/2\/2013\/02\/giovanniAAFeb2013.jpg\" width=\"169\" height=\"227\" \/><\/a><figcaption id=\"caption-attachment-1437\" class=\"wp-caption-text\">Giovanni Livera<\/figcaption><\/figure>\n<p>Giovanni Livera, a popular motivational speaker and performer for corporate and association gatherings said the greatest benefit you can offer members is the hope that they will be &#8220;transformed by joining your organization.&#8221; Your annual meeting has to play a big role in that experience, he added.<\/p>\n<\/div>\n<p>Livera, a self-described &#8220;<span style=\"font-style: italic; font-weight: bold;\">possibilitarian,<\/span>&#8221; said associations do a great deal of work to prepare for their conferences, but they often forget a key ingredient to success: getting attendees in the right frame of mind to be inspired. &#8220;You\u2019ve got to lose the pre-conference baggage and suck all the negative energy out of the room.&#8221; Most people got into the association realm because they love the work and they love the people, observed Livera.<\/p>\n<p>But, over the course of their jobs, &#8220;the fun meter starts to go down.&#8221; You have to get attendees reinvigorated and re-inspired about their work. It\u2019s just hard to duplicate that energy without being there in person, he said.<\/p>\n<p><span style=\"font-weight: bold;\">Mobile conference apps<\/span><\/p>\n<p>Mobile conference apps are another fast-growing way to help attendees and exhibitors get more out of their show experience. &#8220;Mobile is the new paradigm for connecting, participating and collaborating,&#8221; observed DeCagna. Beth Brooks, president of the <a href=\"http:\/\/www.tsae.org\" target=\"_blank\">Texas Society of Association Executives<\/a>, said the mobile conference app developed by Naylor has been very popular with members. &#8220;I especially love the \u2018customize my schedule feature.\u2019&#8221;<\/p>\n<p>But, there\u2019s more to conference apps then scheduling, noted Marcus Underwood, vice president and general manager of NaylorNet. Today, the new generation of apps is not just helping attendees navigate a massive show floor or busy program agenda, they\u2019re helping users build true online communities centered on the show. Sometimes known as exchange events or &#8220;B2B speed dating,&#8221; appointment-based events bring pre-qualified purchasers and vendors together at a pre-set time and location. At most organizations, appointment events are held months apart from the annual trade show or conference. They\u2019re designed to supplement the conference show floor or exhibit hall, not replace it.<\/div>\n<div>CalSAE\u2019s Jim Anderson said his annual appointment-based Exchange event is getting very positive response and sells out quickly. With nearly two-dozen appointment desks set up in the same room, each vendor can have eight to 10 meaningful dialogues with highly qualified buyers in the space of two hours. Due to strong demand, appointment desks are reserved only for those who exhibit regularly at CalSAE\u2019s annual conference in the spring.<\/div>\n<div><\/div>\n<div>Rob Ingraham, executive vice president of Naylor&#8217;s <a href=\"http:\/\/www.exchangeevents.com\" target=\"_blank\">Global Exchange Events,<\/a> said appointment-based events are &#8220;all about discussions.&#8221; Typically 60 to 75 top buyers from a single industry are paired with an equal number of key suppliers for pre-qualified 20-minute appointments. On top of the appointments, Ingraham\u2019s events feature keynote speakers, social events and planned networking sessions at a resort location. As with other types of association interaction, Ingraham said the most successful sellers at his events are the ones who really know how to listen.<\/div>\n<div><\/div>\n<div>Eric Wulf, CEO of the <a href=\"http:\/\/www.carwash.org\" target=\"_blank\">International Carwash Association<\/a>, said his organization\u2019s annual Car Wash Show has achieved double-digit growth every year since 2009 and is now one of the 200 largest shows in North America. Listening to what members and exhibitors want has been a key. &#8220;Whether we\u2019re visiting a member\u2019s establishment or out on the show floor, our staff spends a lot of time with members, picking up pieces of intelligence and always asking them, \u2018How\u2019s it going?\u2019&#8221; It\u2019s very important to add face-to-face interaction to any kind of quantitative analysis you do about your membership, he added.<\/div>\n<div>See the <a title=\"From the Corner Office: Eric Wulf, International Car Wash Association\" href=\"http:\/\/www.naylor.com\/associationadviser\/index.php\/from-the-corner-office-eric-wulf-international-car-wash-association\/\" target=\"_blank\">Corner Office profile<\/a> of Wulf in today\u2019s issue.<\/div>\n<div><\/div>\n<div>Naylor CMG\u2019s Camille Stern said, &#8220;SPI (the Plastics Industry Trade Association), achieved breakthrough results by listening to attendee and exhibitor requests to change the longtime location of their tri-annual convention.
